No. JobAdder is a cloud-based platform, so you will be able to access simply from your desktop browser -nothing else required. For the best possible experience, we recommend using the latest version of: Google Chrome, Mozilla Firefox, Safari v10 (Mac only), Internet Explorer V11 (Windows only).

What is the relationship between JobAdder and SEEK?

JobAdder is wholly owned by SEEK Limited and reports into SEEK Investments. SEEK Investments is distinct from the commercial and product management structures of SEEK. JobAdder and SEEK maintain a strict separation of customer data and JobAdder applies the same governance controls around data-sharing with SEEK as it does for its other technical & commercial partners. What can I expect during JobAdder onboarding and data migration?

If you are looking to migrate existing data from another platform or spreadsheets, JobAdder will assign an Implementation Consultant and a Data Analyst to your project. They’ll be responsible for:

  • Developing your project plan
  • Providing updates around key milestones
  • Reviewing the quality of the data you provide
  • Mapping that data to the JobAdder platform
  • Any cleansing or data optimisation required
  • Managing the testing phase
  • Migrating your data into the platform
  • Providing hands-on guidance
  • Quality checking and setting you up for success

How long does it take to get JobAdder set up for my business?

How fast you can get your account set up depends on the complexity of your needs – in particular any existing data such as candidate records you are looking to migrate over. That said, as a guide, typically standard onboarding requiring no/minimal data migration takes around 2-4 weeks, and more complex data migration requirements take up to 10 weeks. Either way, our experts will work closely with you to get you up and running with confidence.

How easy is it to switch from my existing Recruitment Management System or Applicant Tracking System?

Switching is easy – we do the hard work for you! The JobAdder team help manage the data migration process end-to-end. How long it takes will depend on the quantity and format of your data. We’ve migrated data from pretty much every recruitment or staffing software available – including Bullhorn, Vincere, Workday, Lever, Taleo, Workable, RecruiterBox, Page-Up… and of course good old Excel spreadsheets. Will SEEK have access to our client data if we use JobAdder?

JobAdder understands the importance of keeping your data safe and secure.

Excepting cases where a customer has explicitly chosen to set up an integration between JobAdder and SEEK (such as the JobAdder and SEEK Talent Search Connect integration) or explicitly instructed a transfer of data between the parties then JobAdder does not, and will not, share candidate data or any customer-specific commercial data with SEEK, nor does SEEK request such data from JobAdder. Is the data in my JobAdder account secure?

To say we take data security seriously is an understatement. JA is fully GDPR compliant and your data is stored in the AWS Cloud, one of the world’s leading cloud-service providers with ISO compliant security processes. We’re constantly scanning for security defects in our code, conducting static code analysis as well as running automated security vulnerability checks.

What is GDPR?

This includes the personal data of the candidates and clients that you interact with as part of your business.

What role does JobAdder take in terms of GDPR in relation to the candidate information? And what role does the recruiter take?

With respect to the personal data of candidates and clients that is stored in the JobAdder system:

(a) the agency/inhouse talent team is the data controller; and
(b) JobAdder is the data processor.

The agency/inhouse talent team, as the data controller, holds the direct contractual relationship with its clients and candidates and retains complete ownership of the client and candidate records that it stores within its JobAdder account. The agency/inhouse talent team must comply with the provisions of the GDPR that apply to data controllers. For example if a candidate wishes to be deleted or forgotten then they will contact the recruiter and the recruiter is responsible for actioning that request.

JobAdder, as the data processor, acts in accordance with the instructions of its customer (ie: you) when processing the candidate and client information stored in that customer’s account. With respect to your account data, JobAdder complies with the provisions of the GDPR that apply to data processors This includes secure storage, appropriate data-transfer consideration and good management of its own sub-processors

Where does JobAdder store my data?

JobAdder is a cloud based SaaS offering. We use Amazon Web Services (AWS) for account data storage and processing. Customers located in the UK and EMEA have their core account data stored on AWS servers located in Ireland. 

There are some limited circumstances in which your data may be transferred out of the EU to the subprocessors identified here https://jobadder.com/subprocessors/. In those circumstances, JobAdder ensures that those sub-processors are contractually bound to maintain privacy and security standards that are, at a minimum, as stringent as those that we promise to you. 

We also ensure that, where relevant, appropriate data transfer clauses are in place in its data processing agreements with each of our subprocessors. To the extent that any of your account data flows to countries that are not the subject of an adequacy decision, JobAdder’s adoption of the standard contractual clauses for international data transfer are set out in our GDPR terms available here

JobAdder employs a range of security measures, including encryption, secure access controls, and regular security audits. What happens to the data in my account if I cancel with JobAdder?

To maintain its own GDPR compliance, JobAdder will irretrievably delete the data stored in your account 90 days after your account is terminated. You can request a backup of the data prior to that deletion occurring. Backups are irretrievably deleted two weeks after they’re generated.

Does JobAdder share my data with third parties?

There are some circumstances in which your account data will be shared with third parties. It’s essential that you review JobAdder’s Privacy Policy and Terms of Use to understand how and with whom your data might be shared.

As part of providing our service to you, we engage trusted sub-processors that may also process your candidate/client information (eg: AWS and others). We ensure that those sub-processors are contractually bound to maintain privacy and security standards that are, at a minimum, as stringent as those that we promise to you. Your account data will also be shared if you connect your JobAdder account to a third party product, such as third party job boards, a HRIS software, payroll services or other software and services, including those promoted through the JobAdder Marketplace or resold by JobAdder. These third party products work in conjunction with the JobAdder service but do not form part of the service. Data is transmitted between your JobAdder account and these services only if you choose to connect them to your JobAdder account. We encourage you to carefully review an integration partner’s privacy information, before permitting them to process your client/candidate information via an integration.

How can recruiters ensure GDPR compliance when using JobAdder’s recruitment software?

JobAdder’s recruitment software provides features and best practices to support our customers with their GDPR compliance, including:

CareerUpdate portal – this portal allows candidates to securely access, update, and enrich the data you have on file for them – and also facilitates an opt-out and deletion process (should any of your candidates wish to do so)

Job Application Forms – Our forms enable you to obtain any necessary candidate consents to your own business’s privacy and contractual terms.

“Pending candidate” state – Candidates can be held in a ‘pending’ state until prerequisite requirements are met (eg. send privacy notice). Candidates are automatically available within your account when these prerequisites are met. Candidates that are still in a ‘pending state’ past the one month grace period will be automatically deleted

Other features include:

  • Comprehensive Reporting: Detailed reports allow for monitoring and auditing of data processing activities, ensuring transparency and accountability.

How does JobAdder handle data transfers outside the EU/EEA?

Customers located in the UK and EMEA have their core account data stored on AWS servers located in Ireland. Some non-core JobAdder features may require the transfer of personal data outside of the EU/EEA. In those instances, JobAdder enters into data processing agreements with its subprocessors, that include the standard contractual clauses for international data transfer, to ensure compliance with GDPR.
